1. Who we are

SaferNote (“we”, “us”) is a visit note quality review service operated by WeCreate, a company registered in Israel, at Laskov 9, Rehovot, Israel. This policy explains what information we collect, how we use and protect it, and the choices you have. Contact: support@safernote.com.

2. Information we collect

  • Account and agency information: name, email address, role, agency name, location, website and similar details you give us when you sign up or contact us.
  • Visit notes: the clinical documents your agency sends us for review. These usually contain Protected Health Information (PHI) about your patients.
  • Review results: the QA findings we prepare for each note.
  • Basic technical data: information needed to run and secure the service, such as log-in times and security logs.
  • Website analytics: we use Simple Analytics, a privacy-first service that counts website visits without cookies and without collecting personal information.

3. How we use information

We use your information only to provide the service: to review your visit notes, show you the results, manage your account, bill for the service, provide support and keep the service secure. We do not use your notes or your patients’ information for marketing, and we never sell any data.

4. No artificial intelligence

Your visit notes are reviewed by our home health documentation experts. We do not use artificial intelligence to read, analyze or make decisions about your notes, and we do not use your notes to train any AI system.

5. How we protect information

  • All data is encrypted in transit (while being sent) and at rest (while stored).
  • Visit notes are stored on encrypted Cloudflare R2 servers while they wait for and go through review.
  • Access to notes is limited to the reviewers working on them, and only for as long as the review requires.
  • We keep security safeguards in line with the HIPAA Security Rule.

6. Retention and deletion

Visit notes are permanently deleted from our servers as soon as the review is completed. Review results stay available on your dashboard so you can track and fix notes. You may ask us to delete your results and account at any time; we will do so unless the law requires us to keep certain records (for example, billing records).

7. Sharing

We do not share, rent or sell your data to anyone. Your data is processed only by us and by the infrastructure providers that run our secure servers, who process it on our behalf, under confidentiality obligations and only to provide the service. We may disclose information if the law requires it, for example in response to a valid court order.

8. HIPAA

When we review notes containing PHI for a US home health agency, we act as that agency’s Business Associate under HIPAA. We sign a Business Associate Agreement (BAA) on request, and we use and disclose PHI only as the BAA and HIPAA allow. If there is a conflict between this policy and a signed BAA, the BAA applies to PHI.

9. Your rights

Depending on where you are, you may have the right to access, correct or delete your personal information, or to object to certain uses of it, including under the Israeli Protection of Privacy Law and applicable US state laws. To make a request, email support@safernote.com. Patients who want to access or correct their health records should contact their home health agency, which controls those records.

10. International transfers

We are based in Israel and serve agencies in the United States. Your information may be processed in Israel, the United States and other countries where our secure servers are located, always with the protections described in this policy.

11. Children

The service is for businesses and is not directed to children. We do not knowingly collect personal information from children, other than patient information contained in visit notes that agencies send us for review.

12. Changes to this policy

We may update this policy from time to time. We will post the new version here with a new “Last updated” date, and notify account holders of important changes by email.
